Upload products as a supplier
A guide for suppliers: sign in to a merchant's supplier portal, upload photos and videos for each product, fix rejected files and use SFTP.
This guide is for suppliers. A merchant who sells your products uses Sirv AI Studio and has invited you to their supplier portal. In the portal you see the products they need content for, the shots each product needs and the rules each file must meet. You upload there, and the merchant reviews your files.
Using the portal costs you nothing. The merchant decides which products you see and which checks your files must pass.
Accept the invitation
- Open the invitation email and select Open invitation. The link works for 7 days.
- If you are new to Studio, create a password of at least 8 characters, then select Continue to supplier portal.
- If you already have a Studio account, sign in, then select Continue to supplier portal.
If the invitation has expired, ask the merchant to send a new one.
The first time you sign in, finish your supplier profile in three steps: your name, your company name and website, and an optional profile image. Select Finish setup. Uploads open after that.
To use the portal in Spanish, open your account menu at the bottom of the sidebar and choose Language.
Find what to upload
Dashboard shows your work at a glance:
- Your first delivery walks you through your first product: open it, upload the required content, resolve the check results and receive the review result.
- Counts of products that Needs upload, are Pending review, Needs fixes or are Complete. Select a count to see those products.
- The merchant's help text and contact details.
- Recent activity, with View all for the full log.
Assigned Products lists every product the merchant gave you. Use the tabs to see what needs fixes, needs an upload, is waiting for review or is complete. Search by name or SKU. A product may show a due date.
Upload to a product
- Open the product from Assigned Products.
- Read Before you upload. It lists the checks your files must pass. Select Show full requirements to see each rule.
- Check the file name hint after Name your files:.
- Find the shot you want to fill. Required shots must be filled before the product is complete. Select View requirements to see the shot's role, whether it takes an image or a video, the merchant's description, a Reference example and the mistakes to avoid.
- Select Upload on the shot and choose the file. To upload several files at once, use the main upload button, such as Upload missing shots.
You can upload from your computer, from Dropbox or Google Drive, or by pasting links. One upload takes up to 50 files, or 1 file when you upload to a single shot.
| File type | Formats | Maximum size |
|---|---|---|
| Images | JPG, PNG, GIF, WebP, BMP, TIFF, HEIC, HEIF, AVIF and SVG | 200 MB |
| Videos | MP4, MOV and WebM | 100 MB |
The merchant's checks can set lower limits. Studio stores SVG files as PNG. If a video does not meet the shot's rules, your browser converts it to an H.264 MP4 before the upload.
If the merchant is still setting up the shots, you can upload now and the files are mapped to shots later.
What happens after you upload
Studio checks each file against the merchant's rules within about a minute. Depending on the merchant's settings, a file is approved, waits for a reviewer or comes back to you with the reason. Some problems, such as the wrong format or a file that is too large, can be fixed for you.
Each file shows its status:
| Status | Meaning |
|---|---|
| Draft | Uploaded, still being checked |
| Pending | Waiting for the merchant's review |
| Approved | Accepted by the merchant |
| Rejected | Sent back to you, with the reason |
| Live | Delivered to the merchant's store |
Upload many files at once
Batch Upload takes up to 10,000 files in one batch and matches them to your products.
- Go to Batch Upload and add files from your computer, Dropbox, Google Drive or links.
- Optionally, add a CSV manifest under Optional CSV manifest (see below).
- Studio matches the files to products and shots. Check the matches under Review matches and fix any file that matched no product or more than one.
- Submit the batch.
Without a manifest, Studio reads the folder and file names:
- The product: a folder named after the SKU, such as
ABC123/hero.jpg, or a file name that starts with the SKU, such asABC123_main.jpg. A barcode (GTIN or EAN) at the start of the file name also works. - The shot: a word after the SKU.
main, heroorprimarymeans the main image.galleryoraltmeans a gallery image.lifestyleorscenemeans a lifestyle shot.detail,closeuporclose-upmeans a detail shot.swatchorcolormeans a swatch. Without a word, the file goes to the gallery. - The position: a number after the SKU, such as
ABC123_2.jpg.
The sidebar shows the merchant's file name rules, the image and video rules and Accepted examples, files the merchant has already approved.
Use a manifest
A manifest is a CSV file that tells Studio where each file goes. Select Download the CSV template to get one with a row for each of your products. It has four columns:
| Column | Example | Required |
|---|---|---|
filename |
EXAMPLE-123_main.jpg |
Yes |
sku |
EXAMPLE-123 |
Yes, or a barcode column (EAN, GTIN or UPC) |
role |
main |
No. Without it, files go to the gallery. |
position |
1 |
No. Without it, positions count up for each product and role. |
When you attach a manifest, check that Studio picked the right Filename column and SKU column.
Resume an interrupted batch
If you close the page during a batch, open Batch Upload again in the same browser. Select Resume upload to carry on, or Start over. Studio keeps an unfinished batch for 24 hours.
Fix a rejected file
- Go to Submissions and filter by Needs fixes.
- Read the merchant's Feedback: on the file.
- Select Revise submission and upload the replacement. It replaces the rejected file and goes through the same checks and review.
You can also select Replace on a rejected shot on the product page. To take back a file that is still waiting or was rejected, select Withdraw.
Files you sent by SFTP that matched no product appear under Unassigned. Select Assign to Product to place them.
Notifications and activity
Notifications tells you when a file is approved or needs changes, when products are assigned to you or removed, when someone comments and when a file is back in review. Select Mark all read to clear them. The bell at the top shows the same notifications.
Activity Log lists everything that happened to your files. Filter by Uploads, Reviews, Validations or Notifications.
Upload by SFTP
SFTP lets you send large numbers of files from an SFTP client such as FileZilla or WinSCP. It is available when the merchant's plan includes it. If SFTP Upload shows an error or says SFTP is not set up for you, ask the merchant.
- Go to SFTP Upload.
- Under Step 1 — Connect, copy the Host, the SFTP Port and the Username into your SFTP client.
- Select Reset password, then select it again to confirm. Copy the password straight away: it is not shown again. A new password replaces the old one.
- Under Step 2 — Upload into the right folders, upload your files the way the page describes.
The merchant chooses one of two folder layouts:
- SKU folders: put each product's files in a folder named after its SKU, such as
/SKU-001/hero.jpg. Studio reads the shot from the file name, as in a batch upload. - Category folders: use the category folders, such as
/Category/Subcategory/123456_001.jpg. The file name starts with the SKU and ends with the shot number.
Files you upload to the top folder are not matched. Assign them under Submissions > Unassigned. Step 3 — Check your results links to the pages where your files appear.
Change your profile
Go to Settings to change your name, company name, website and profile image, then select Save changes. Language and theme are in the account menu at the bottom of the sidebar.
